because I sent the invoice to the right person but forgot to edit part of the information so the client got information for a previous translation with another client. :-/ | |

I attached the wrong invoice to my email message. The translation file was the right one, but the invoice belonged to another client. Fortunately, it happened with a client I've been working for many years so they just laughed at me and told me that the invoice I sent wasn't for them. It happened after a long project was finished and I was very tired that day. But it reminded being really careful with those details, even when your brain isn't working anymore... H... Actually, I sent it to the right client but it somehow ended with the wrong one!!! Don't ask me how. I actually replied to the earlier e-mail and it was correct. But sometime later I received an e-mail from another client (same first name) informing me about the error. But the body of the e-mail showed the e-mail address of the client to whom I wanted to send the e-mail. I know I didn't do it but... Send e-mail to A but B gets it. The e-mail shows th... I have several clients who share first names, so when you begin typing in the TO: box, they all pop up. When I saw the poll on the homepage here I thought, 'OH GOD!' We all make mistakes. I say wait until you're fully alert to invoice, and focus on nothing else when you do it. Easier said than done! Buon lavoro. | |

It happened in a hectic day when I've done and submitted a couple of small jobs along with invoice. In essence I ended up in sending same invoice to these different clients. How embarrassing!

But this would be very difficult to happen in my situation, because I check all my invoices 2 or 3 times before sending them. It's one of my little obsessions. | | |
I did once invoice a client for a job I didn't do... I had the PO, but the job had been cancelled, and when I was invoicing at the end of the month I just created an invoice for it with all the other POs... oops! (Un?)fortunately the client didn't pay it... Extremely embarrassing!!! (Note to self - and everyone else - delete all cancelled POs immediately!... The surprising thing was that the agency I sent it to only noticed that the rates were higher than usual (they did not notice the wrong address or that it related to work that they knew nothing about). So they proceeded to send me a ranting email about how could I raise my rates without discussing it, I had abused their trust etc. They did not say that they would not pay the invoice - but seemed to think that they could negotia... My numbering system is to use client initials and the date of the job, or the invoice if it is for multiple jobs. When I start a new invoice, my accounting system automatically advances the previous number by one, changing the year, which I don't want changed, and leaving the wrong initials. To get the correct number, I have to change it by hand. I wish my accounting system would just leave things alone, then I would at least get a warning that I am creating two invoices with the same number.... On the other hand, I do live in fear of sending the wrong NDA to the wrong client since it almost happened a few days ago- not the best way to impress them with my careful security. Normally, I only get one or two serious new client inquiries a month, but it is 1 or 2 a day just lately, and it is hard to keep the prerequisite paperwork straight.
